ACCOUNTING ADMINISTRATOR
Location: Dayton, Maryland
Job Type: Full Time, Exempt
Pay Range: $50,000 – $60,000/year
Schedule: Monday – Friday
POSITION SUMMARY
We are seeking a qualified Accounting Administrator, with experience in both Accounts Payable and Receivable, to join our team. The Accounting Administrator is responsible for the Accounts Payable and Accounts Receivable functions for Absolute Landscape & Turf Services, Inc. Willingness and capacity to learn company and industry-specific software and processes required. Exercises independent judgment in the resolution of administrative tasks and problems.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to, the following:
Accounts Receivable
- Process incoming payments
- Record customer credit card payments
- Resolve account discrepancies and oversee collections of outstanding accounts
- Generate and send customer invoices
- Set up customer accounts upon onboarding
- Generate reporting for management on outstanding receivables
- Prepare daily, weekly, and monthly updates for management
Accounts Payable
- Upload and process paper and digital vendor invoices in banking systems
- Credit card receipt processing
- Reconcile vendor statements, research, and correct discrepancies
- Process subcontractor billing
- Prepare regular status updates for management
Administrative
- Provide phone, reception, and general office support as a backup to the receptionist
- Assist with daily entry of customer contracts for work sold
- Input and maintain certificates of insurance for all subcontractors
- Respond to customer and vendor emails
- Acquire and maintain insurance for company-owned equipment and vehicles
- Provide additional administrative support for the field team
Perform other duties as assigned
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Associate’s Degree
- Three years of related experience or relevant coursework
- Knowledge of Microsoft Office (especially Word & Excel) and QuickBooks
- Understanding of accounting as it relates to Accounts Payable and Accounts Receivable
- Exceptional problem-solving, time management, and organizational skills
- Ability to work with minimal direction, speed, and efficiency
- Good oral and written communication skills
- High attention to detail, ability to take directions, self-check, and follow up on work
- Database/CRM experience
- Able to enter accurate financial/numerical data
- Strong interpersonal and communication skills with external and internal clients
- Intermediate computer and typing skills
- Adept at using and managing technology (office & cell phones, computers, programs, etc.)
- Ability to apply discretion, and trust with confidential company information
